We are looking for a Bid Specialist to join our Sales team — someone who combines sharp writing with AI-powered production to win formal tenders in the aviation technology market.
Airports, government-owned operators, and ground handling groups buy technology through structured procurement: RFPs, RFIs, PQQs, and formal tenders. Every one of these requires a professional, accurate, and strategically positioned response. Your job is to make sure AirportLabs competes — and wins — in these processes.
This is an AI-first role. You will use AI tools to generate the majority of standard bid content — company overviews, product descriptions, technical architecture, compliance matrices — from our bid library, product documentation, and past proposals. Your human contribution is what AI cannot do: writing executive summaries that tell a compelling customer-specific story, positioning AirportLabs against the competition, exercising judgment on ambiguous requirements, coordinating cross-functional input under deadline pressure, and performing the final quality review that ensures every claim is accurate and every compliance point is substantiated.

Responsibilities
- Produce complete bid responses for formal tenders (RFPs, RFIs, PQQs) using AI as the primary drafting engine — ingesting tender documents, generating compliance matrices, auto-drafting standard sections, and assembling submission-ready responses.
- Write and refine the sections that differentiate AirportLabs: executive summaries, strategic positioning, customer-specific value propositions, and responses to ambiguous or novel requirements.
- Own and maintain the bid library — the corpus of reusable content that feeds AI-generated responses. Configure AI to auto-update library sections when product documentation, release notes, or certifications change. Keep it current, structured, and accurate.
- Generate compliance matrices for each tender: map every requirement to AirportLabs capabilities, flag gaps early, and track recurring compliance patterns that inform the product roadmap.
- Coordinate cross-functional input from Product, Technology, Security, Finance, and Legal stakeholders. AI pre-populates each stakeholder's section from existing documentation — your job is to ensure timely review and approval, not to chase blank-page contributions.
- Maintain competitive intelligence relevant to bids and use AI to draft competitive positioning sections tailored to each tender's context.
- Track bid metrics (win rate, bid cost, submission timeliness, compliance accuracy) and use AI to analyse win/loss patterns. Identify and implement process improvements that reduce bid cost while increasing quality.
- Conduct final quality review of every response before submission: accuracy of product claims, compliance completeness, formatting, and alignment with tender requirements.
Qualifications & skills
- 3+ years in bid management, proposal writing, or sales operations in B2B enterprise technology (SaaS preferred).
- Demonstrated experience with formal procurement processes: RFPs, RFIs, PQQs, and structured tenders. Comfortable with compliance matrices, mandatory requirements parsing, and tender evaluation criteria.
- Excellent writing skills in English — both the precise, compliance-oriented writing that tenders require and the persuasive, strategic writing that wins them. Fluency in Romanian is mandatory for internal collaboration.
- Proficiency with AI tools for content generation: experience using AI to draft, refine, and structure written content at scale. You should be comfortable configuring AI workflows, curating the knowledge base that feeds them, and critically reviewing AI-generated output for accuracy. If you have not used AI for professional writing yet, you should be demonstrably eager and capable of learning.
- Cross-functional coordination skills: ability to get timely input from multiple stakeholders under deadline pressure without creating friction.
- Attention to detail: a missed mandatory requirement or an inaccurate product claim can disqualify a submission.
- Ability to work under deadline pressure: tenders have fixed submission deadlines, often with compressed timelines.
- Bachelor's degree or higher, ideally from a technical or business institution.
Nice to have
- Experience with bid management platforms (Loopio, Responsive, Qvidian, or similar)
- Familiarity with the aviation, airport, or transportation domain — understanding how airport authorities and government entities buy technology accelerates your effectiveness significantly.
- Proficiency in Spanish and/or French and/or German is a plus — some tenders require responses in the buyer's language
- Experience with security and compliance frameworks (SOC 2, ISO 27001, GDPR) in a bid context.
- Certification in bid or proposal management (APMP or equivalent)
Our recruitment process
We will use a three-step process for the recruitment of this role:
1. A first questionnaire on bid management and AI-assisted writing with the candidates who have been selected based on the CV & motivation description.
2. A first interview with the candidates who have been selected based on the questionnaire, where we will discuss bid management experience, your approach to AI-powered production, and relevant experience with formal tenders.
3. A practical exercise will be sent over email to the candidates selected: you will receive a sample RFP section and be expected to produce a bid response using AI tools within 4 working days, then present your approach and output.
